This Refund & Cancellation Policy explains the terms governing cancellations, refunds, subscriptions, deposits, digital products, and professional services provided by Stratevia AI Systems ("Company," "we," "our," or "us").
By purchasing our products or services, you agree to this Policy.
This Policy applies to all products and services offered by Stratevia AI Systems, including but not limited to:

Implementation and setup fees compensate Stratevia AI Systems for planning, consultation, system architecture, configuration, customization, onboarding, and project preparation.
Accordingly:
• Setup fees become non-refundable once work has commenced.
• Project kickoff, discovery meetings, workflow design, software configuration, or development activities constitute the start of work.
• If a project is canceled before work begins, any refund will be determined at the Company's sole discretion, less any administrative or processing costs already incurred.
Unless otherwise stated in a written proposal or Statement of Work:
• Deposits reserve project scheduling and resources.
• Remaining balances are due according to the agreed payment schedule.
• Final deliverables may be withheld until all outstanding balances have been paid in full.
Late payments may delay project completion.
Recurring services may include:

• CRM Administration
• AI Agent Maintenance
• Website Hosting
• Technical Support
• Workflow Monitoring
• Managed Marketing Automation
• Subscription Software Management
Monthly subscriptions automatically renew unless canceled in accordance with this Policy.
Clients may cancel recurring services by providing at least thirty (30) days' written notice before the next billing cycle.

• Services remain active through the end of the paid billing period.
• No prorated refunds are issued for partial months.
• Access to managed systems may end upon service termination.
Stratevia AI Systems reserves the right to suspend or terminate services if a client:
• Fails to pay invoices when due.
• Violates applicable laws.
• Uses our services for fraudulent, abusive, or unlawful purposes.
• Harasses or threatens Company personnel.
• Violates our Acceptable Use Policy.
• Compromises the security or integrity of Company systems.
When practical, reasonable notice will be provided before termination.
Refund requests are evaluated based on the type of service purchased. Refunds may be considered for:
• Duplicate payments.
• Billing errors.
• Services that cannot be delivered due to circumstances solely attributable to the Company.
Approved refunds will be issued using the original payment method.
Unless required by applicable law, the following are not refundable after delivery or commencement of work:

• Workflow configuration
• CRM customization
• Software integrations

Because these services involve time, expertise, and custom work, refunds are not available once work has begun.
Many Stratevia AI Systems solutions integrate with third-party providers, including:
• GoHighLevel
• OpenAI
• Twilio
• Stripe
• Meta
• Microsoft
• Zapier
• Calendly
• Other software vendors
Fees charged by third-party providers are governed by each provider's own terms and refund policies.
Stratevia AI Systems cannot refund amounts paid directly to third-party vendors.
Clients agree to contact Stratevia AI Systems before initiating a payment dispute or chargeback. Initiating a chargeback without first attempting to resolve the issue may result in:
• Immediate suspension of services.
• Removal of hosted assets.
• Termination of subscriptions.
• Referral of unpaid balances for collection where permitted by law.
Nothing in this section limits a customer's rights under applicable consumer protection laws.
Client delays may include:
• Failure to provide requested information.
• Failure to approve deliverables.
• Delayed communication.
• Failure to provide access credentials.
• Missed implementation meetings.
Such delays do not entitle the Client to refunds or discounts and may require project timelines to be adjusted.
Due to the nature of digital goods, all sales of:
• Downloadable documents
• Prompt libraries
• AI templates
• Guides
• Training materials
• Digital toolkits
are final once access has been granted or files have been downloaded.
If a digital file is defective or inaccessible due to a technical issue attributable to Stratevia AI Systems, we will make reasonable efforts to provide a replacement or corrected file.
The Company may, at its sole discretion, issue a partial or full refund in extraordinary circumstances. Any exception made in one instance does not obligate the Company to provide refunds in future cases.
Stratevia AI Systems may revise this Refund & Cancellation Policy from time to time.
The most current version will be posted on our website. Continued use of our services after updates constitutes acceptance of the revised Policy.
